JOB SUMMARY:
The Customer Service and Internal Sales Coordinator acts as a key customer contact from initial enquiry and quotation through to order, manufacture and shipment. The role supports revenue conversion by producing accurate quotations, following up opportunities, processing orders and coordinating daily contract review meetings. The role ensures customer commitments are based on validated pricing, material availability, capacity and production plans.
Salary on offer £32,000 - £35,000 DOE.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
- Act as the internal sales and customer-service contact for customers and enquiries.
- Supported by Sales and Engineering, prepare accurate quotations using approved pricing, costing, margin, lead-time and commercial information.
- Work closely with Operations to coordinate technical, material, capacity and pricing input before issuing quotations.
- Clearly communicate price, validity, delivery assumptions, payment terms, minimum order quantities and exclusions.
- Follow up open quotations, record outcomes and refer qualified opportunities to the relevant Sales owner.
- Convert accepted quotations into accurate sales orders and resolve differences through contract review.
- Enter and maintain accurate customer, order and commercial information inside the ERP system.
- Issue order acknowledgements once price, quantity, delivery and contractual requirements have been confirmed.
- Coordinate order amendments, pull-forwards, deferrals and cancellations, ensuring approval and internal communication.
- Provide proactive updates using delivery dates validated against production, material availability and capacity.
- Work with Planning, Production and Supply Chain to identify risks, obtain recovery plans and escalate constraints.
- Support complaints and service issues through to resolution or formal handover.
- Assist with margin checks, customer reporting, order-book reviews and continuous improvement.
TRAVEL:
Travel requirements are limited but may be required to fulfil business demands.
KNOWLEDGE, SKILLS & ABILITIES:
Experience & Skills
- Experience in customer service, internal sales, sales administration or order processing, preferably in manufacturing or engineering.
- Experience preparing quotations and converting them into sales orders.
- Competence using Epicor or another ERP system, with strong numerical and administrative accuracy.
- Confident written and verbal communication with strong organisation and prioritisation skills.
- Commercially aware, proactive and calm when resolving issues or escalating risks.
- Competence using Outlook, Excel, Word and Teams.

EDUCATION AND COMPETENCES:
Professional Competence, Education & Training
- English and Math at GCSE level or equivalent, with relevant commercial or customer-service experience.
- ERP capability and Microsoft 365 proficiency.
- Ability to manage multiple enquiries, quotations, orders and actions without compromising accuracy.
