Role: Events Manager

Description:

Operating as an independent membership association, Innovate Finance is the industry body
that represents and advances the global FinTech community in the UK. Our mission is to support
the next generation of technology-led innovators to create a more inclusive, more sustainable,
and more democratic financial services system that works better for all.
Innovate Finance seeks a dynamic, self-starter to assist with event planning efforts to ensure
successful delivery of all its events, including their flagship annual Global Summit which attracts
over 1,500 attendees in the heart of the City. This is an outstanding opportunity for an individual
interested in learning more about the exciting sector and event planning.
The role offers valuable hands-on experience and the opportunity to gain new skills. Working
closely across all business units, the successful candidate will help deliver all logistical and
operational elements for over 50 events ranging from a 10 person roundtable, 200 person
conference and a 1,500 person summit.


Responsibilities include (but are not limited to):
● Ensuring the internal and external calendar of events is kept up-to-date on all platforms.
● Managing event invites, registration forms, RSVPs, calendar holds and registration
trackers (pre and post event).
● Updating the website with detailed event information.
● Venue and supplier sourcing, liaison and management.
● P&L management.
● Produce detailed event project plans including timelines, venue information, suppliers,
staffing and budgets and lead weekly calls with the internal team.
● Managing incoming delegate enquiries and filtering as appropriate.
● Working with the membership, marketing, PR and communications teams to ensure
smooth marketing and delivery of all events.
● Working closely with the content team to ensure a smooth speaker experience, from
pre-event speaker briefings to post-event speaker feedback forms and thank you emails.
● Be the main point of contact for each event, liaising with internal stakeholders and
suppliers, handling client queries and troubleshooting onsite on the day of the event to
ensure that it all runs smoothly.
● Manage the team of onsite staff and ensure appropriate briefings.
● Make sure that insurance, legal and health and safety obligations are followed.
● Oversee the events set up and tear down.
● Report on CSATs, attendance and other ROI stats. Format reporting and socialise with
relevant stakeholders.
● Work alongside the ‘Associate Director of Operations’ on the organisation of IF team
events: away days, lunches, office parties and socials.
● Support the IF team with meeting room requirements and office supplies.


Required skills


● A minimum of 3 years’ working in an events logistics role.
● Fluent in written & spoken English.
● Someone who thrives both independently and collaboratively, confident in tackling tasks
alone and contributing effectively within a team.
● Time-management, attention to detail, communication and self-motivation skills are
essential.
● Good knowledge of London and UK venues is ideal.
● Knowledge of the UK FinTech sector is preferred but not essential.
● Experience of stakeholder liaison.
● Proficient in Microsoft Office (Word, Excel, PPT) and experience with Google suite.
● Experience of budget management.
● Experience of BrightTalk, Eventbrite, Hubspot and Social Media platforms preferred but
not essential.


Position


● This is a full-time, permanent position (Mon - Fri).
● Required minimum 2 days in the office (Tues and Thurs) at Innovate Finance HQ in
London (Liverpool Street / Bank) mixed with home working if preferred. On event days, early
mornings and/or late evenings are likely required.
